Privacy Policy

Last updated: 17 October 2026.

1. Who we are and how to contact us

This policy explains how CAATS (Corporate and Airport Transfer Services), based in Lytham St Annes, uses personal information in connection with enquiries, bookings and our website, www.caats.co.uk.

For questions about your information or to make a privacy request, email bookings@caats.co.uk or call 01253 335060.

2. Information we collect

Our enquiry forms collect your name, email address, telephone number, passenger numbers, collection and destination details, travel date and flight times, and return arrival details where relevant. Information you send by email or provide by telephone may also form part of your enquiry or booking correspondence.

Form submissions can include the submission date and time, the page used, browser information and IP address. Website services may also process technical information about your visit, as explained below.

Please provide only information needed for your enquiry. If you are arranging travel for someone else, make sure they know you are providing their details and direct them to this policy. Avoid sending unnecessary medical or other sensitive information through the general enquiry form.

3. How we use information and our lawful bases

  • Quotes and bookings: we use contact and journey details to respond to requests, prepare quotes, arrange collections, communicate with passengers and provide the booked service. Where you are booking for yourself, this is necessary to take steps you request before entering a contract or to perform that contract.
  • Bookings made for others: where an organiser provides passenger details, we use the information necessary to arrange and deliver the journey in our legitimate interests in administering the booking and communicating with the people travelling.
  • Records required by law: we use relevant booking and financial information to meet applicable accounting, tax and other legal obligations.
  • Administration, security and concerns: we use necessary information in our legitimate interests in running the service, protecting the website against misuse, maintaining records and responding to questions or complaints. We consider the effect on individuals when relying on legitimate interests.

Where a separate activity requires consent, consent is the relevant basis for that activity. Sending a quote enquiry does not itself give consent to direct marketing.

We need sufficient contact and journey information to prepare a quote or arrange a transfer. If necessary details are not supplied, we may be unable to respond or provide the requested service.

4. Who receives information

Website enquiries are configured to be sent to bookings@caats.co.uk. Information needed to arrange and carry out a journey is used by the people handling the booking and the driver providing the transfer.

Information may also be handled by service providers supporting the website and business, including hosting, email, website maintenance, security, backup and booking services. Where relevant to a payment or legal obligation, information may be handled by payment providers, professional advisers or public authorities. The information involved depends on the service being provided and the circumstances.

You can contact us for further information about the recipients involved in your enquiry or booking.

5. How long we keep information

Retention depends on the purpose of the record rather than one period for every type of information. We assess the following criteria:

  • Enquiries that do not become bookings: the time needed to answer the enquiry, deal with follow-up correspondence and resolve any outstanding issue.
  • Bookings and financial records: the time needed to administer the journey and meet applicable accounting, tax and other record-keeping obligations.
  • Complaints or disputes: the time needed to investigate, resolve the matter and retain records relevant to any continuing claim.
  • Technical records and backups: the operational need for security, troubleshooting and recovery, taking account of the systems and backup arrangements used.

Information should not be retained indefinitely simply because it is available. Records are considered for deletion or anonymisation when they are no longer needed for the relevant purpose. Contact us if you want to ask about the retention of a particular record or request its deletion; legal obligations or an ongoing matter may affect what can be deleted.

6. Website services, cookies and international processing

The website includes Google Analytics and Google Ads tags for website and advertising measurement. It also uses Google reCAPTCHA to help protect enquiry forms against spam and misuse. These services can process technical information such as IP addresses, browser or device information and interactions with the website.

Other website services, such as embedded maps where displayed, may involve requests to a third-party provider. See Google’s Privacy Policy for information about Google’s processing.

Your browser provides controls for cookies and stored website data. Blocking cookies or third-party services may affect how parts of the website work. You can contact CAATS to ask about the technologies used and any available privacy choices. This privacy notice does not itself provide or record consent for tracking.

Third-party providers may process information outside the UK. Contact us for details of the providers involved in your information, the processing locations and any applicable international-transfer arrangements or safeguards.

7. Your rights

Depending on the circumstances and the lawful basis used, you may have rights to access your information, correct inaccurate information, request deletion, restrict processing or receive certain information in a portable form. These rights have conditions and exceptions.

Your right to object: you may object to processing based on legitimate interests on grounds relating to your particular situation. You can object to use of your information for direct marketing at any time.

Where processing relies on your consent, you can withdraw it by contacting us. This does not affect processing carried out lawfully before withdrawal. For choices controlled by a separate service, use that service’s applicable privacy controls as well.

To make a request or raise a concern, email bookings@caats.co.uk. Please give enough information to identify your enquiry or booking. We may need to check your identity before disclosing personal information.

You can also complain to the Information Commissioner’s Office.

8. Changes to this policy

We review this notice when our information-handling practices change. The date at the top shows when this version was last updated.
